PRIVACY POLICY
Realis (operated by Andre De Britto, “Realis,” “we,” “our,” or “us”) provides workflow, research, communication, and market-intelligence services for real estate professionals. The service is accessible primarily through WhatsApp and may include connected email, calendar, customer relationship management (“CRM”), property-data, recording, transcription, and other services (collectively, the “Service”).
We value your privacy and are committed to handling personal information responsibly. This Privacy Policy explains the information we collect, how we use and disclose it, the choices available to you, and how to contact us.
1. INFORMATION WE COLLECT
Depending on the features you use, we may collect or process the following categories of information:
a. Account and Contact Information
Your name, telephone number, email address, brokerage or company, real estate market, account preferences, subscription plan, and other information you provide when creating or managing your Realis account.
b. Conversations and Service Content
Messages, questions, commands, prompts, responses, feedback, reminders, notes, files, forms, documents, images, voice notes, and other content you send to or generate through Realis.
c. Connected-Account Information
If you choose to connect a CRM, email account, calendar, or another third-party service, Realis may access and process information made available through that connection. Depending on the permissions you grant, this may include contacts, leads, client notes, email content, calendar events, tasks, property information, activities, and related metadata.
We may also process account identifiers and authorization credentials or tokens necessary to maintain the connection. Realis accesses connected accounts only after you authorize the connection and subject to the permissions granted through the applicable service.
d. Client and Third-Party Information
The information you submit or authorize may include personal information about buyers, sellers, prospects, clients, vendors, meeting participants, or other individuals. This may include names, contact information, property interests, budgets, timelines, preferences, communications, notes, and transaction-related information.
You are responsible for ensuring that you have the appropriate permission or other lawful basis to provide this information to Realis and request that Realis process it.
e. Audio, Recording, and Transcription Information
If you use a voice-note, meeting-recording, or transcription feature, we may process audio recordings, speaker information, transcripts, meeting notes, summaries, commitments, preferences, and follow-up actions derived from the recording.
You are responsible for notifying meeting participants and obtaining any consent required by applicable law before recording or submitting a conversation to Realis.
f. Property Radar and Property Intelligence Information
If you use Property Radar or related opportunity-intelligence features, Realis may collect, receive, combine, and analyze:
• Property addresses and characteristics;
• Ownership and transaction history;
• Listing status and listing history, including expired, canceled, withdrawn, active, pending, sold, rental, and price-change information;
• Publicly available property, court, tax, foreclosure, or other government records;
• Information from authorized MLS exports, licensed property-data providers, or other third-party sources;
• Contact information associated with properties or prospects when lawfully available;
• Information and preferences supplied by the user; and
• Indicators, rankings, scores, explanations, and recommended follow-up actions generated from this information.
Property Radar may use automated analysis to identify properties or situations that could represent a potential business opportunity. Its scores and indicators are estimates based on the information available to Realis. They may be incomplete, delayed, inaccurate, or no longer current.
Property Radar is not a consumer-reporting service and its outputs are not intended to determine creditworthiness, insurance eligibility, employment, housing eligibility, tenant screening, property value, or any other legally significant consumer decision. Property Radar does not guarantee that an owner intends to sell, that a prospect will respond, or that an opportunity will result in a transaction.
g. Subscription and Payment Information
We may collect subscription status, plan, billing history, and transaction identifiers. Payment-card details may be collected and processed directly by our payment processor rather than stored by Realis.
h. Usage, Device, and Technical Information
We may collect usage logs, message delivery information, feature interactions, timestamps, device or browser type, IP address, connection data, error reports, and security-related information necessary to operate, analyze, protect, and improve the Service.
2. HOW WE USE INFORMATION
We may use information to:
• Create, maintain, and administer your Realis account;
• Answer questions and provide requested information;
• Personalize responses, recommendations, reminders, news, market updates, and workflows;
• Search for and analyze property and market information;
• Operate Property Radar and generate opportunity indicators, rankings, explanations, and suggested actions;
• Draft or send communications and create calendar, task, CRM, or follow-up actions at your request;
• Transcribe recordings and generate meeting notes, summaries, action items, and potential CRM updates;
• Provide customer support and communicate about the Service;
• Process subscriptions and maintain billing records;
• Monitor performance, diagnose errors, prevent fraud or misuse, and secure the Service;
• Improve Realis features, workflows, reliability, and user experience using operational information and feedback, subject to the model-training restriction described below;
• Enforce our terms and policies; and
• Comply with applicable law and respond to lawful requests.
3. AI PROCESSING AND MODEL TRAINING
Realis uses artificial-intelligence service providers to process information and generate responses, summaries, recommendations, and requested workflows.
Realis does not use your conversations, CRM information, client information, connected-account data, files, recordings, inputs, or outputs to train or improve shared or general-purpose AI models. We do not authorize our AI service providers to use this information for that purpose.
We and our service providers process this information only as necessary to provide, maintain, secure, and support the Service, perform workflows you request, improve Realis’s own operation and user experience without training shared or general-purpose AI models, and comply with applicable law.
AI-generated information may be incomplete or inaccurate. You should independently verify material information, particularly legal, regulatory, contractual, financial, valuation, property, and transaction information. Realis does not replace a broker, attorney, accountant, appraiser, inspector, or other qualified professional.
4. HOW WE DISCLOSE INFORMATION
We do not sell your personal information.
We may disclose information in the following circumstances:
a. Service Providers
We may disclose information to vendors that help us provide the Service, including messaging providers, AI and transcription providers, cloud-hosting and database providers, CRM, email and calendar integration providers, property-data and mapping providers, payment processors, analytics providers, and security and support services.
These providers may process information only to perform services for Realis or as otherwise disclosed in their applicable terms and privacy notices. The information disclosed depends on the feature you use and the action you request.
b. At Your Direction
We may disclose or transmit information when you ask us to send an email, update a CRM, create a calendar event, share content, or perform another action involving a third-party service or recipient.
c. Legal, Safety, and Security Purposes
We may disclose information if we reasonably believe disclosure is required by law, subpoena, court order, or governmental request, or is necessary to protect the rights, safety, security, and integrity of Realis, our users, or others.
d. Business Transfers
Information may be transferred as part of a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction. Where required, we will provide notice of material changes affecting your information.
5. WHATSAPP AND OTHER THIRD-PARTY SERVICES
Realis operates primarily through WhatsApp and may connect with other services selected by you. Your use of WhatsApp and connected services is also governed by the terms and privacy policies of those providers.
Realis does not control how WhatsApp or another independently operated service collects, uses, retains, or protects information in its own systems. Deleting information from Realis does not necessarily delete copies independently maintained by WhatsApp, your email or calendar provider, your CRM, a payment processor, a recipient, or another third party.
You are responsible for securing your WhatsApp account, connected accounts, devices, and login credentials.
6. YOUR CHOICES AND CONNECTED ACCOUNTS
You may choose whether to connect optional CRM, email, calendar, recording, or other integrations. You may disconnect an integration through Realis or the applicable third-party service when that option is available.
Disconnecting a service stops future access through that connection but may not automatically delete information previously imported, generated, or stored by Realis. You may contact us to request deletion as described below.
You may stop receiving optional recurring communications by using the available preference or unsubscribe command, where applicable. Certain administrative, security, billing, and service-related notices may still be sent while your account remains active.
7. DATA RETENTION
We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing account history and requested workflows, maintaining security, preventing fraud and misuse, resolving disputes, enforcing agreements, and complying with legal, tax, accounting, and regulatory obligations.
Retention periods may vary based on the type of information, the feature used, whether an account or integration remains active, the sensitivity of the information, and applicable legal requirements.
When information is no longer required, we take reasonable steps to delete or de-identify it. Residual copies may remain temporarily in backups, security logs, or service-provider systems, or longer when retention is required by law.
8. DATA SECURITY
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, loss, or misuse. However, no transmission or storage system is completely secure, and we cannot guarantee absolute security.
Please do not submit Social Security numbers, complete payment-card details, financial-account credentials, medical information, or other highly sensitive information unless Realis expressly requests it through an appropriate secure workflow.
9. YOUR PRIVACY RIGHTS
Depending on your location and applicable law, you may have the right to:
• Request access to the personal information we hold about you;
• Request correction of inaccurate information;
• Request deletion of personal information;
• Request a portable copy of certain information;
• Restrict or object to certain processing; and
• Withdraw consent where processing is based on consent.
To submit a request, contact [PRIVACY EMAIL]. We may need to verify your identity before completing the request. We may retain or decline to delete certain information when permitted or required by law.
If you ask Realis to delete information concerning another person, we may require evidence that you are authorized to make that request.
We will not discriminate against you for exercising a privacy right protected by applicable law.
10. CHILDREN’S PRIVACY
The Service is designed for professional use and is not directed to children under 18. We do not knowingly collect personal information from children through the Service. If you believe a child has provided personal information to Realis, please contact us so that we can review and, where appropriate, delete it.
11. INTERNATIONAL PROCESSING
Realis and its service providers may process information in the United States and other countries. These locations may have data-protection laws different from those in your jurisdiction. Where required, we use appropriate safeguards for international transfers.
12. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy from time to time to reflect changes to the Service, our practices, technologies, or legal obligations. We will post the updated policy with a revised “Last Updated” date. If a change is material, we may provide additional notice through WhatsApp, the Service, email, or another appropriate channel.
